1. Scope
This Cancellation Policy explains how a subscription to the Tripkoz platform, operated by Tripkoz Technologies, is cancelled and what follows. It forms part of our Terms & Conditions.
Cancelling a subscription is not the same as deleting an account, and neither is the same as asking for a refund. Refunds are dealt with separately in the Refund Policy.
2. How to cancel
Self-service, and immediate:
- Sign in to the Tripkoz dashboard as an organisation administrator;
- Open Billing from the left-hand navigation;
- Choose Cancel subscription, tell us why if you would like to, and confirm.
If you cannot sign in, or your account has already been locked, write to billing@tripkoz.com from the email address registered on the account and we will cancel it for you. We action such requests within one (1) business day.
We do not require notice, we do not impose a minimum term beyond the cycle you bought, and we do not charge a cancellation fee.
3. What cancelling does
Cancelling stops the subscription renewing. It does not cut off access on the day you cancel.
- Auto-renewal is switched off immediately, and no further charge is raised against your payment method;
- Your organisation keeps full access, at your existing plan limits, until the end of the term you have already paid for;
- On the day the term ends, the dashboard and the driver and guardian apps for your organisation are locked. Cancelled subscriptions get no grace period — the seven-day grace window applies to a term that lapsed unintentionally, not to one you deliberately ended;
- Your data is retained, not deleted, in accordance with clause 6 below.
The end date is shown on the Billing page before you confirm, and again on the confirmation screen, so there is no ambiguity about the day access stops.
4. Changing your mind
While the paid term is still running, you can reverse a cancellation from the same Billing page. Auto-renewal is switched back on and nothing else changes — same plan, same limits, same end date, no new payment.
Once the term has ended and the account has locked, reactivation means starting a new term: choose a plan on the Billing page and pay for it. Your organisation, users, vehicles, routes and history are all still there and come back with it.
5. Downgrades and upgrades
An upgrade takes effect immediately. The higher plan limits apply as soon as the payment is verified, and the new term starts from that date.
A downgrade takes effect at the start of the next billing cycle, so you keep the plan you have paid for until it expires. The difference is not refunded — see the Refund Policy.
Before a downgrade is scheduled we check your current usage against the lower plan’s limits. If you are over a limit — more vehicles, drivers or passengers than the lower plan allows — we will tell you exactly what needs to be reduced before the change can take effect. If you are still over the limit when the cycle turns, the downgrade is held and your current plan renews instead, so the Service never silently loses your records.
6. Your data after cancellation
Cancelling does not delete anything. Your Customer Data — organisation, users, drivers, vehicles, routes, passengers, trip history, safety records and invoices — is retained in full during the remainder of the term, and for thirty (30) days after the term ends.
During those thirty days you can reactivate and find everything as you left it, or ask us for an export.
After thirty days we may delete Customer Data, subject to records we are required to keep by law — tax invoices in particular, which are retained for the statutory period. To request an export or an early deletion, write to privacy@tripkoz.com.
Backups expire on their own cycle. A record deleted from the live system may persist in an encrypted backup for a short further period before that backup rolls off.
7. Deleting your account entirely
Cancelling a subscription leaves your account in place. If you want the account and its data removed rather than dormant, that is a separate request.
Individual users can delete their own account from Profile in the dashboard. To delete an entire organisation and its records, an administrator should write to privacy@tripkoz.com. We confirm the request, complete the deletion within thirty (30) days, and confirm again once it is done.
Deletion is irreversible. We will say so plainly before we act on it.
8. Cancellation by us
We may suspend or cancel a subscription where fees remain unpaid after reasonable notice, where the Terms are materially breached, where use of the Service creates a security or legal risk, or where the law requires it.
Except in an emergency or where the law prevents it, we will give notice and a chance to put the problem right before cancelling. If we cancel for a reason that is not your fault — for example, we withdraw the Service — we refund the unused portion of your term as set out in the Refund Policy.
9. Contact and grievances
Cancellation questions go to billing@tripkoz.com. If you are unhappy with how a cancellation was handled, our Grievance Officer can be reached at grievance@tripkoz.com; complaints are acknowledged within 24 hours and we aim to resolve them within 15 days.
